I have travelled the world working with companies of every size and industry, and one thing continues to surprise me: most businesses are not using AI correctly.

The most common mistake I see is putting AI in the driver’s seat and becoming a passenger. That is the wrong approach. The right approach is to stay in control of your thinking and your direction, and use AI to handle the work that slows you down.

And what slows most people down? Admin.

Emails. Meeting notes. CRM updates. These tasks are costing businesses real money, not because they are complicated, but because they pull people away from their customers. Every hour spent transcribing notes or writing up a summary from memory is an hour not spent selling, serving, or growing.

After extensive research, I found two AI tools that have genuinely transformed how my team operates. I am not sponsored by either of them. I am sharing them because they work.

Granola: The Meeting Notes Tool That Runs in the Background

One of the awkward realities of AI note-taking tools is that most of them announce themselves. Someone joins your Zoom or Teams call, a notification pops up, and suddenly everyone knows the meeting is being recorded and summarised. That changes the dynamic.

Granola is different. It runs quietly in the background, listens to the conversation, and produces an accurate summary after the meeting ends. No notifications. No interruptions. Just clean, useful notes waiting for you when the call wraps up.

What makes it even more powerful is that you can add your own notes while it runs. If a client mentions something specific they want to focus on, or you want to flag a technique to share later, you type it in and Granola weaves it into the final summary automatically.

From there, you copy the notes straight into your CRM. No typing up from memory, no chasing details you half-remember from an hour ago. It takes about a minute after a meeting to have a clear, accurate record ready to use.

When introducing it to a client, I simply say: “I’m not recording our conversation, but I’m capturing notes so I can follow up properly.” That is it. No friction, no concern.

Wispr Flow: Voice to Text That Actually Works

Most people get bogged down by typing. Whether it is emails, proposals, or prompts into Claude or ChatGPT, the keyboard slows down what should be a fast process.

Wispr Flow solves that. You hold down a button, start talking, and it transcribes what you say directly onto your screen at close to 99% accuracy. It works in any text field, on your phone or computer, in WhatsApp, Google, email, anywhere you would normally type.

My favourite use case is proposals. After a client meeting, I take my Granola notes, open Claude or ChatGPT, hold down the Wispr Flow button, and talk through what was discussed: what the client needs, what the training will cover, costs, travel. The AI drafts the proposal. I review and edit it. Done.

What used to take an hour takes minutes.

You Still Have to Drive

The most important thing I want to be clear about: these tools do not replace your judgment. You are still the one steering. AI handles the friction, but you are responsible for the quality of the output.

Always review what gets produced. Check accuracy. Make sure it sounds like you. Never just send something an AI generated without reading it first. That is not laziness, that is a liability.

When used correctly, Granola and Wispr Flow free you up to do more of what actually grows your business. More conversations. Faster follow-ups. Better proposals. Less time staring at a blank screen trying to remember what was said in a meeting two hours ago.

If you want to be more productive and get back to your clients faster, these two tools are worth adding to your workflow today.
